This Privacy Policy describes how REAGILITY collects, uses and protects your personal and trademark data when you use our platform and services.
1. Who we are
REAGILITY (Trademark Renewal Intelligence Platform) ("REAGILITY", "we", "us") is based at 78 Cannon Street, London. This policy explains how we handle personal data when you use our website, dashboard and renewal services.
For the purposes of UK GDPR and the EU GDPR, REAGILITY is the data controller for the personal data described in this policy.
2. Information we collect
Account data: your name, email address, company/business name and password (stored only as a secure hash).
Trademark and renewal data: registration numbers, marks, owner details, classes, jurisdictions, renewal deadlines and any documents you upload or that we retrieve from official registries on your behalf.
Payment data: billing details processed through our payment provider (Stripe). We do not store full card numbers on our servers.
Usage data: log data, device and browser information, and activity within the platform, used to keep the service secure and reliable.
3. How we use your information
To provide the renewal service — searching registries, checking eligibility, calculating fees, taking payment and submitting or fulfilling renewals.
To manage your account, send transactional emails (registration, payment confirmations, renewal status and reminders) and provide support.
To maintain an audit trail of confirmations, class selections and fee approvals as required for legal and compliance purposes.
To detect and prevent fraud, secure the platform, and comply with our legal obligations.
4. Legal bases for processing
We process your data to perform our contract with you (providing the renewal service), to comply with legal obligations, for our legitimate interests in operating and securing the platform, and — where required — with your consent (for example, optional renewal reminders).
5. Sharing and disclosure
Official registries and fulfilment: we submit renewal information to the relevant intellectual property office (e.g. UKIPO, EUIPO, WIPO) or complete filings through the official portal on your behalf.
Service providers: payment processing (Stripe), transactional email, hosting and infrastructure. These providers act on our instructions under appropriate data-protection terms.
We do not sell your personal data. We only disclose data where required by law or to protect our legal rights.
6. International transfers
Where personal data is transferred outside the UK/EEA, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses. We do not process production personal data outside the EEA without an appropriate legal basis.
7. Data retention
We retain account, order and audit records for as long as your account is active and for the period required to meet legal, accounting and regulatory obligations. Renewal confirmations are kept so you have a durable record of your filings.
8. Your rights
Depending on your location, you may have the right to access, correct, delete or port your personal data, to object to or restrict processing, and to withdraw consent. To exercise any of these rights, get in touch through our contact page. You may also lodge a complaint with your local data-protection authority (in the UK, the ICO).
9. Security
We use industry-standard measures including encryption in transit, hashed passwords, access controls and audit logging. No system is completely secure, but we work to protect your information and to notify you of any breach where required by law.
10. Cookies
We use strictly necessary cookies to keep you signed in and to secure the service, and limited analytics to improve the platform. You can control non-essential cookies through your browser settings.
11. Cookies and analytics
We use a small number of cookies. One is strictly necessary: the session cookie that keeps you signed in. It cannot be switched off, because without it the service cannot tell who you are.
We also use Google Analytics to understand how the site is used. These analytics cookies are optional and are only set after you accept them — if you reject or ignore the banner, no analytics code is loaded at all. You can change your decision at any time using the button at the foot of this page.
Where an analytics page view is recorded, we remove identifying details from the address first. Order references, pro-forma numbers, account identifiers and trademark numbers are replaced with placeholders before anything is sent, so your renewal activity is never transmitted to Google. IP addresses are anonymised.
Google Analytics is provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.
12. Changes to this policy
We may update this policy from time to time. Material changes will be notified through the platform or by email. The "last updated" date above always reflects the current version.
